Share Youth Sports Schedules by Age Group

Organize youth sports fixtures with division sub-schedules and live calendar feeds that keep parents updated without static PDFs.

5 min read

A single league calendar divided into division sub-schedules lets families follow only their child's age group. When match times or pitch locations change, those adjustments automatically sync to parents' phone calendars.

Static PDF fixtures and spreadsheets break when bad weather or pitch double-bookings force a postponement. Dedicated team management apps solve notifications, but they require every parent to register an account and download software just to see kickoff times. A public league calendar gives families the exact game details they need on their existing calendar apps.

Organize divisions using sub-schedules

Rather than managing separate accounts for each bracket, set up one central schedule for your league and divide it into sub-schedules for age groups like U8, U10, and U12. Sub-schedules group events inside one schedule, letting families view all league fixtures or filter down to a single age bracket.

When you create fixtures, assign each game to its respective division sub-schedule. If your club operates across multiple pitches at a central park, enter the field or pitch number in the event location field and use the description for uniform colors or parking instructions.

Event Schedule manages fixture dates, locations, and calendar subscriptions. For pure kickoff times and venue logistics, a clean public calendar prevents repetitive emails.

Build the season with recurring dates and skip breaks

Youth sports seasons usually run on predictable weekly cycles. Instead of entering every weekend match by hand, you can build your league fixtures using recurring events on the Free plan.

On the Event tab, choose Recurring beside Date & Time. Pick Weekly, tick the Days of the Week your matches take place on, and choose an end condition under Recurring End, such as On Date or After Events.

Bank holidays, school mid-term breaks, and cup tournaments often interrupt regular league play. You can adjust these dates without breaking the recurring series:

  • Exclude Dates: Under the repeat settings, use Add Date under Exclude Dates to remove holiday weekends. An excluded date is absent from the schedule completely, so parents see nothing on that date rather than a cancelled game.
  • Include Dates: Use Add Date under Include Dates to insert one-off makeup games or weeknight matches that do not match the regular weekly pattern.

Embed live age-group fixtures on your league website

You can embed the calendar on your website with an iframe so families can view fixtures directly on your existing club site. The embedded calendar updates when events change, so rescheduled games show the new times on your site without re-pasting any code.

To embed the calendar, open your schedule in the admin portal, open the Actions menu beside the schedule's name and choose Embed Schedule. To embed only one division on a dedicated age-group page, add the schedule parameter to your embed URL, such as ?embed=true&schedule=u10.

Set the frame width attribute so it fills whatever column it sits in and fits mobile screens. To fix the display style across devices, append &layout=calendar or &layout=list to the iframe source URL.

Wording to send families for live calendar subscriptions

When you publish season dates, email parents the direct link to your sports league calendar along with clear setup steps. Subscribing to the live feed keeps their phone calendar updated automatically whenever pitch allocations or kickoff times shift.

Copy and adapt this template for your season welcome message:

Dear Families,

Fixtures for the upcoming season are now live on our league website. You do not need to install an app or register an account to view game times.

To add your player's schedule directly to your phone calendar:

  1. Visit our league fixtures page and select your player's age group.
  2. Click Subscribe to all events from your schedule at the bottom of the page.
  3. On an iPhone, tap the feed link and confirm Subscribe in Apple Calendar.
  4. On an Android phone or Google Calendar, copy the feed address, open Google Calendar in a browser, select Add calendar followed by From URL, and paste the feed link.

Whenever pitch assignments or match times shift due to weather, your phone calendar will refresh automatically.

Subscribed calendars pick up changes on their own without parents doing anything. The feed is cached for an hour, and external apps like Google Calendar refresh on their own cycle, which can take several hours. Remind families that short-notice cancellations on game day morning can always be verified live on the website fixtures page.

Questions people ask

Can parents subscribe to only one team or division?

Yes. When you organize divisions into sub-schedules, families can filter to their child's division and subscribe specifically to that sub-schedule feed. Their phone calendar will then only show matches for that age bracket.

What happens when a game is postponed or moved to another pitch?

When you edit the time or venue on the schedule, the change reflects on your website embed on the next page view. Subscribed phone calendars pick up the new match details automatically when their calendar app re-reads the feed.

Does Event Schedule calculate league standings or points tables?

No. Event Schedule handles match dates, locations, kickoff times, and calendar feeds. It does not track league tables, match scores, or team rosters.

Do parents need to pay or create an account to view fixtures?

No. Viewing a schedule and subscribing to calendar feeds are free and open to the public. Parents do not need to sign up, log in, or pay fees to check game times or sync fixtures.
