Separate open play from tournament seats on the same night
Running a tabletop club usually means serving two crowds at once: social players who show up to pick whatever game is open on the shelf, and competitive players who want a guaranteed seat in a specific title. If you lump everyone into a single RSVP headcount, you risk running out of tournament seats or turning away casual drop-ins when one tournament fills up.
In Event Schedule, you handle this by creating your weekly club gathering as a recurring event on the Event tab. Choose Recurring beside Date & Time, set the Frequency to Weekly, and tick the Days of the Week your club gathers. Set Recurring End to Never so the series continues automatically, or choose On Date to stop after a specific season.
Inside that single recurring event, create separate free registration types. Keep the general room open while locking down limited tables by giving each tier its own capacity limit. Event Schedule manages attendance limits, registration, and waitlists, but it does not run tournament brackets, game pairings, or seating charts. You will still run your bracket software or paper pairings at the table, while the calendar protects your room numbers.
Structure ticket names and capacity caps for a 16-player bracket
When you run a tournament for games like Catan, Blood on the Clocktower, or tabletop skirmish systems, every seat matters. An empty chair ruins four-player groupings, while an unexpected seventeenth player leaves someone sitting out. Clear registration names prevent casual attendees from accidentally claiming a tournament slot.
For an evening with open gaming and a 16-player tournament, create three distinct free ticket options:

Set the main tournament tier to exactly 16 registrations. Label the ticket with the exact game title, round count, and start time. In the ticket description, state that checking in 10 minutes past start time forfeits the seat to a standby player. This lets you enforce prompt arrivals without arguing at the venue doors.
How the free waitlist fills cancellations automatically
Players drop out of weeknight meetups due to work, traffic, or family conflicts. Tracking cancellations manually through chat messages means you spend your afternoon matching names to timestamps instead of prepping game setups.
Event Schedule provides a waitlist on full free registrations across every plan. As soon as all 16 tournament seats are claimed, a Join Waitlist button appears on your event page. Interested players submit their name and email address to enter the queue.
When an existing registrant cancels their free RSVP, the next person in line is notified by email. That player receives a link that is valid for 24 hours to claim the released spot. To avoid overselling, only one person is notified at a time. The next person in line is notified only after the current person's 24-hour window expires or they complete their registration. You can view the full queue anytime by opening Admin Panel → Sales and choosing the Waitlist tab.
Monthly newsletter copy to announce game titles and seats
Regular communication keeps attendance stable from week to week. Confirmed email subscribers receive an automatic email digest whenever you publish new dates to your schedule. In addition, you can compose custom email updates with the built-in newsletter builder to highlight featured games, rules teach schedules, and remaining tournament seats.
The Free plan includes a monthly allowance of 10 newsletter recipients, while the Pro plan covers 100 and Enterprise covers 1,000. If you connect your own mail server in the Email Settings row of the schedule's Integrations tab, sending is unlimited on any plan. You can also review opens and clicks on your statistics page after each delivery.

Can I collect tournament entry fees through the schedule?
Yes. Offering free registration is available on the Free plan, while charging a ticket price requires the Pro plan. Event Schedule takes no platform fee or per-ticket fee on any plan, though your payment processor still charges its card fee, such as Stripe's standard US card rate of 2.9% + $0.30 per successful charge.
What happens if a player cancels their seat an hour before the game starts?
Because the automated email gives the next person 24 hours to claim a spot, a cancellation right before game time might not be claimed online in time. For late drops, award the open seat at the venue to players who registered under your Tournament Alternate tier.
Can guests sync club game nights with their personal calendars?
Yes. Guests can add an event to their own calendar or subscribe to your schedule's live calendar feed, offered as Subscribe to all events from your schedule on your event and schedule pages.
